REGISTRATION AND HOSPITALITY

REGISTRATION POLICY

Registration & Participation Guidelines:

  1. Participants can register either individually or as part of a contingent. 
  2. Participants must carry their AADHAR Card and College ID on the day of their event.  
  3. Failure to present any required documents at the registration desk may lead to disqualification. In such a case the decision of the Public Relation & Media administrators shall be final. 
  4. The registrations must be completed before the deadline. Late registrations will not be entertained under any circumstances. 
  5. Participants must provide accurate information during registration. Any falsification of details may result in immediate disqualification. 
  6. The Registration Fees is non-refundable under any circumstances. 
  7. Changes in registration details (including team members, event category, etc.) will not be permitted after the final confirmation. 
  8. Participants must adhere to the event schedule. Late arrivals may result in disqualification at the discretion of the organizing committee. 
  9. A confirmation email/message will be sent upon successful registration. Participants must retain this for verification if needed. 
  10. The organising committee reserve the right to disqualify any participant or contingent found violating the event rules, engaging in misconduct or disrupting the event. 
  11. In case of any disputes, the decision of the Administrators shall be final and binding. 
  12. Symfiesta reserves the right to modify the program schedule at any time, but efforts will be made to maintain the standard of the event. 
  13. Symfiesta is committed to protecting your privacy. Personal information will be stored securely for verification and security purposes only.

General Rules & Regulations

  • All team members must carry their valid college ID card on the day of the event. 
  • Participants are expected to uphold healthy competitiveness throughout the event. 
  • The judges’ decision shall be final and binding, and no objections will be entertained. 
  • Participants must arrange their own instruments, props, or equipment, unless otherwise specified. 
  • While adhering to the theme of Symfiesta’26 is not mandatory, it will be appreciated.
  • The competition schedule is fixed, and special requests for time changes will not be entertained, unless pre-approved by event heads. 
  • Participants must be prepared to perform out of the scheduled order in case of unforeseen circumstances.
  • All performances, artworks, and contributions may be photographed and used for media purposes.
  • Participants in multiple competitions must manage their own costume changes independently. 
  • The organizing team reserves the right to prohibit certain props or equipment if deemed unsafe.
  • Use of offensive language, vulgarity, or profanity is strictly prohibited and will result in immediate disqualification. 
  • Obscenity in any form is not permitted.
  • Rude, abusive, or inappropriate behaviour will result in disqualification. 
  • The organizing team reserves the right to amend these rules, if necessary, with due notice provided to Participants.

  • General Accommodation Policy

    • Symfiesta 2026 welcomes all participants.
    • The Organising Committee does not:
      • Arrange accommodation
      • Book rooms
      • Manage hotel coordination
      • Finance stays
      • Mediate between participants and hotels
    • Participants shall arrange their accommodation independently as per their convenience.

  • Hotel Information (Assistance Purpose Only)

    • A few nearby hotels were contacted for indicative tariff details to assist participants.
    • Shared details are purely informational in nature.
    • This should not be treated as endorsement, recommendation, or official association with Symfiesta 2026.
    • Participants must handle availability, bookings, payments, cancellations, and confirmations directly with the hotels.

  • Hotel Policy Conditions
      • Room availability, check-in/check-out timings, deposits, and extra charges are governed by hotel policies.
      • Cancellation and refund rules vary as per hotels.
      • The Organising Committee shall not be responsible for:
        • Non-availability of rooms
        • Tariff changes
        • Service-related complaints
        • Loss of personal belongings
        • Financial disputes or damage claims
        • Any other issues arising between participants and hotels
      • Participants are advised to confirm details in advance.

  • On-Campus Accommodation

    • No on-campus accommodation will be provided by Symfiesta 2026.

  • Campus Access and Verification

 

  • Entry and exit shall follow Symfiesta 2026 rules, security protocols, and curfew timings.
  • Access will only be granted on registered event dates, subject to verification.
  • Access to cultural evenings/pro-nights (if any) will be governed solely by Symfiesta 2026 rules.
  • Participants must carry:

 

  • Valid Student Identity Card
  • Original Aadhaar Card
  • Passport-size photographs (if required)
  • Entry may be denied without completing verification procedures.

 

  • Registered participants will receive Symfiesta 2026 identification cards, to be worn visibly within campus.
  • Participants must cooperate with security and present identification when requested.

  • Participant Conduct

 

  • Participants staying at hotels must follow hotel rules, conduct standards, and Symfiesta 2026 discipline requirements.
  • Consumption or possession of alcohol, drugs, narcotics, psychotropic substances, or prohibited items is strictly prohibited within university premises.
  • Violation shall lead to immediate disqualification and disciplinary action.

  • Hotel Conduct and Responsibility

 

  • Hotels may use CCTV cameras in common areas.
  • Misconduct towards hotel staff or other guests may result in hotel action; the Organising Committee will not intervene.
  • Participants are responsible for any property damage caused at hotels.
  • Compensation or recovery for damages must be settled directly with hotels.
  • The Organising Committee will not involve itself in:

 

  • Financial disputes
  • Service complaints
  • Damage claims
  • Any disagreements between participants and hotels

  • Final Advisory

 

  • Participants are advised to plan travel and accommodation early for smooth participation.
  • Participation in Symfiesta 2026 implies that the participant has read, understood, and agreed to adhere to this Hospitality Policy.
  • In all matters concerning campus rules, discipline, and conduct within university premises, the decision of the Organising Committee shall be final and binding.
